01

Start with the brief

Tell Rentora about the event, location and equipment. Review the captured details before making a plan.

  • Capture the event date, show start, city and venue
  • Review material matches and quantities
  • Refine the draft with Rentora Assist
02

Get everyone ready

Plan owned equipment and vendor rentals. Give your crew their reporting details and track responses.

  • Check equipment availability and sourcing
  • Share crew reporting instructions through linked accounts
  • Prepare an optional quotation from agreed rates
03

Leave with a clear plan

See departure, venue arrival and show time together. Check materials, loading, vehicle and driver.

  • Review the dated travel and setup schedule
  • Confirm packing, crew and transport readiness
  • Record actual departure with timing exceptions explained
04

Bring it all back

Reconcile returns, record shortages and damage, and keep the event’s commercial documents close.

  • Reconcile returned equipment and exceptions
  • Keep quotations, invoices and payments with the job
  • Review business reports and export records

A FEW THINGS TO KNOW

Start with your real operation.

Do I need to upload everything before my first event?

Create your workspace and warehouse first. Add the materials and people needed for your first event, then grow your catalogue over time.

Can we use our own crew and warehouse?

Yes. Your workspace holds your warehouse, materials and team. Crew app access is linked through staff settings.

Does Rentora send messages on our behalf?

Linked staff accounts receive in-app assignment notifications. Email, SMS and WhatsApp delivery are not promised by this signup flow.

Does the travel plan replace route checks?

No. Travel estimates and safety buffers help plan the event. Confirm the route, traffic and venue access before departure.
